Privacy Policy

This is how we handle the information you give us when you apply to the Aura Advisory Program.

What we collect

When you submit the application form, we collect:

• Your name, email address, phone number, and city
• Your written answers to six screening questions covering:
  1. Schedule commitment (availability through August 2026, weekdays and weekends)
  2. Accountability (comfort with weekly measurement and removal for underperformance)
  3. Coachability (how you’ve responded to critical feedback in the past)
  4. Communication and presence (social confidence in professional financial conversations)
  5. Leadership intent (why a leadership track rather than an entry-level role)
  6. Network and relationships (the quality and nature of your professional and social ties)
• Your acknowledgment that you are authorized to work in Canada
• If you reach the video stage, the link to a video you have hosted on a third-party platform (for example Loom, YouTube unlisted, Google Drive, or Vimeo)

When you book a call with us through our scheduling provider, we also receive:

• The date and time you select
• Your time zone (as detected by your browser)
• Any notes you add to the booking

When we send you email from this domain, our email service provider records standard delivery metadata (sent, delivered, opened timestamps) to help us confirm messages reached you.

When you visit our website, we use a privacy-friendly analytics tool that records page views, referring source, country, and general device type. It does not use cookies, does not track you across sites, and does not collect any personal information.

About your video submission

We only store the link to your video, not the video file itself. The video remains hosted on whichever platform you chose (Loom, YouTube, Google Drive, Vimeo, etc.). That platform’s own terms and privacy policy govern how long it keeps the file and who can access it — we have no control over that. If you want your video permanently removed, delete it directly from the platform you uploaded it to. We will also delete our stored link on request (see “Your rights” below).

How we use it

Your information is used solely to evaluate your application and to communicate with you during the selection process. That includes:

• Reviewing your written answers and video submission
• Scheduling and conducting your screening call, group interview, and final 1-on-1
• Sending you email updates about your application status
• Maintaining internal records of the selection process

We do not sell your information. We do not share it with advertisers. We do not use it to market other products to you.

Who we share it with

Your information is held in the operational systems we use to run the selection process:

• Our CRM provider (for contact records, pipeline tracking, and email sends)
• Our business email provider (for direct correspondence with you at hiring@auraadvisoryprogram.com)
• Our scheduling provider (for booking your calls with us)
• Our email service provider (for delivering automated messages)
• Our website and analytics providers (for hosting the application form and measuring aggregate site traffic)

These providers act on our instructions and do not use your information for their own purposes beyond what is required to deliver their services.

How long we keep it

• If you are selected for the Founding Generals cohort, we retain your application record for the duration of your contract and seven years after, as required for Canadian financial services record-keeping.
• If you are not selected, we delete your contact record and associated application data within 90 days of the cohort close (expected August 2026), unless you ask us to keep it longer so you can be considered for a future cohort.
• You can request earlier deletion at any time — see “Your rights” below.

Your rights under PIPEDA

Canadian privacy law (PIPEDA) gives you the right to:

• Know what personal information we hold about you. Email us and we will provide a copy.
• Correct it if anything is inaccurate.
• Withdraw your application at any stage of the process and have your record deleted.
• Ask questions about how we are handling your data.

To exercise any of these rights, email hiring@auraadvisoryprogram.com with the subject line “Privacy request.” We respond within 10 business days.

Security

Your data is stored on platforms that use encryption in transit (TLS) and at rest. Access is restricted to the selection team. We do not transmit application data over insecure channels.

Changes to this policy

If we update this policy, the effective date at the top of this page changes. For substantive changes, we will email anyone with an active application on file.
